Position Description

The Marshall Undergraduate Advising Office provides academic counseling and advisement to undergraduate students in the Marshall School of Business and also coordinates the Marshall Cohort Program, New Student Welcome, satellite Commencement Ceremony and scholarships for continuing students. The Academic Advisor helps students with general academic questions and assists them in developing and clarifying their academic goals and plans. This includes course selection and planning, registration, graduation requirements, addressing academic concerns or difficulties, understanding academic policies and procedures, connecting with faculty members and other university resources, studying abroad and selection of a minor. The Advising staff work closely with other university offices to ensure students are effectively served and problems are resolved quickly. The office serves and undergraduate population of nearly 4,000 students (majors and minors).

Duties

• Provides academic counseling for undergraduate and/or graduate students. Advises on matters of curriculum, course and degree requirements, transfer credit evaluation, and graduation counseling and clearance. Monitors student progress in honors and probation programs.

 

• Evaluates student problems, academic, administrative or personal, and refers student to appropriate student services office for additional counseling. Liaises with other offices on behalf of students to facilitate problem resolution.

 

• Counsels or advises prospective students and families on admissions, financial aid, housing and academic requirements. Intervenes with university central student services as necessary to connect prospective students with the right staff member or department in order to facilitate the application process. Provides initial evaluation of admissions and financial aid applications.

 

• Maintains academic unit student records and coordinates registration activities, grading, degree progress, enrollment and degree verification, and transcripts with the USC Office of Academic Records and Registrar. Assists with Petition applications, resumes and letters of recommendation. Interfaces with faculty, administrators and students regarding grading policies, academic progress and student promotability.

 

• Plans and coordinates student events including commencement, orientation, receptions, and award ceremonies. Contracts with vendors for services and attends and oversees events to ensure arrangements are handled as planned.

 

• Serves as advisor to student groups and organizations. Assists in planning and administering special programs such as faculty advisor programs, peer tutorial or advisor groups, and honors groups.

 

• Maintains currency on policies, procedures and regulations pertaining to admissions, financial aid, registration, transfer credit evaluation, course and degree requirements, graduation requirements, petitions and other student services.

Required Qualifications

Bachelor’s Degree with one year student program or services experience.

Preferred Qualifications

Master’s Degree with two years experience. Knowledge of USC student and academic programs, policies and procedures and knowledge of the student information system.

The incumbent is responsible for providing general advising and coordinating the mandatory advising program for first-time freshmen. Program Coordination

• Manage all logistical details of the program including: coordinating the program calendar, student communications regarding     First Year Advising, scheduling appropriate staffing, maintaining the student appointment calendar, as well as placing and clearing student holds.

Position Description: This is a full-time, tenure track, 175 day contract, counseling/assessing students for learning disabilities in the Division of Disability Resource Center. This assignment includes achievement and cognitive testing, knowledge of appropriate accommodations for each student and counseling that is highly diverse in terms of academic preparation, cultural, socioeconomic, and ethnic backgrounds as well as physical and learning abilities. ABOUT THE POSITIONS Gavilan College seeks qualified and enthusiastic applicants for an adjunct/part-time counseling faculty position for our MESA (15 hours per week) and Basic Skills program (21 hours per week). The MESA (Mathematics, Engineering, Science Achievement Community College Program) is an academic program with a mission to increase the number of educationally disadvantaged community college (undergraduate) students who transfer to four-year institutions and earn degrees in math-based majors, such as (but not limited to) engineering (civil, architectural, mechanical, electrical), computer science, biology, chemistry, and physics. WHAT IS “BASIC SKILLS PROGRAM”? The Basic Skills Program assists new and continuing students who, based on assessment test scores, need to take refresher courses in english and math before they are eligible to enroll in college transfer level classes. The purpose of the program is to identify the needs and goals of these students, facilitate each student’s access to the appropriate resources and services on campus, and promote the successful transition to college level coursework, degree completion and transfer to 4-year institutions. Included in the services provided are individualized and group counseling and workshops and classes on topics such as learning styles, time management, study skills, career exploration and goal setting.

Duties

SPECIFIC TO THE BASIC SKILLS POSITION

Job Duties and Responsibilities:

Work as a team member to provide appropriate intervention and support to students in basic skills courses

Provide comprehensive counseling services to a diverse, multicultural student population

Develop and deliver high quality guidance courses, workshops, and outreach presentations

Participate as a member of the First Year Experience (FYE) faculty team

Work evening hours/weekend hours at various campuses within the District as needed

Required Qualifications

For applicants meeting Assistant Specialist criteria, a Master’s Degree plus 30 credits of graduate study beyond the Master’s from a college or university of recognized standing with major work in a closely related field is required. At the assistant specialist level, there must be evidence of the ability to perform required duties, including evidence of supervision and the ability to exercise independent judgment competently in the field of specialization is also required. For applicants meeting the Associate Specialist criteria, a Doctoral Degree from a college or university of recognized standing with major course work and dissertation in a closely related field is required. At the Associate specialist level, there must be at least four years of experience in the appropriate specialty as an assistant specialist or equivalent. Evidence of ability to perform required duties and to supervise the work of others, i.e. assistants is also required. For applicants meeting Specialist criteria, a Doctoral Degree from a college or university of recognized standing with major course work and dissertation in a closely related field. At least four years of experience in the appropriate specialty in the next lower rank or equivalent. Preferred Qualifications

Demonstrated success in managing a similar department and holding duties equivalent to the Office of Student Services in an academic setting including, but not limited to management, marketing, advising, customer service, supervision, and project management.
