Position Description

The Assistant Director of the Academic Advising & Planning Center maintains an advising caseload of undergraduate students to assist them with all aspects of academic planning by promoting and encouraging self-authorship and resource utilization in support of academic success, as well as the timely and informed pursuit of an academic major, supervising professional academic advisors and overseeing a correlative area of departmental responsibility as outlined in the job duties.

Duties

Collaborates in strategic planning, development of departmental objectives, and implementation of academic advising programs and assessment initiatives. Recommends changes or improvements to the current procedures for the department. Provides accurate and timely academic advising in-person or virtually to approximately 200-250 first-year students, transfer students, and undecided students, including special populations (e.g., academically at-risk students, provisional students, students with physical and/or learning disabilities, students on academic warning or probation, regular or conditionally readmitted students, and Summer First Students). Works with students to explore their interests, discuss course options, consider majors, plan for the future, and address any academic concerns. Explains degree requirements (including the general education curriculum) and teaches related technology, institutional policies and procedures, student support services, and opportunities for co-curricular activities. Refers advisees to other campus resources as appropriate. Documents advising sessions and maintains academic records in compliance with College of Charleston policies and procedures and FERPA Regulations. Monitors and maintains the integrity of advising training processes in AAPC and supports the assessment of the quality advising experience. Coordinates and oversees training for new advisors and interns to ensure quality control and consistency in academic advising and administers the New Advisor Mentor Program. Provides continued support to new advisors throughout their first year via additional training and professional development, as needed, outside the New Advisor Mentor program. Oversees the development and maintenance of an advisor training manual and materials, online OAKS materials and assessment efforts, including developing assessment tools and monitoring and assessing advisor competency. Serves as Chair of the Training Committee and is a member of the Assessment Committee and consults with the Orientation Committee where appropriate to help maintain OAKS Advising content and processes. Supervises and formally evaluates three or more professional academic advisors providing ongoing support and developmental feedback through individual or small group team meetings. Provides supervisory assistance to the Director for the Academic Advising & Planning Center staff at large, including participation in but not limited to personnel matters. Manages and resolves sensitive or complex issues as they arise in the Center as necessary. Oversees the development and implementation and integrity of advising related campus workshops/assessment. This includes assessing faculty advising needs across the campus; continue the development and implementation of the Faculty Advising Academy workshops in collaboration with the Office of the Academic Experience and the Center for Excellence in Teaching and Learning offering at least two workshops per semester, with the goal of increasing offerings based on the campus’s need. Maintain and update the Faculty Advising Academy’s website content, including a mechanism for departments to request an advising workshop or personalized workshop by department for faculty advisor training (with support from AEX). Maintain and update the Faculty Development OAKS module. Envision and expand the Academy to meet the needs of the campus. Attends and participates in on and off campus, local, regional and national professional development opportunities as it relates to area of responsibility. Serves the center in various venues internal and external to the College of Charleston. Serves as search committee member inside and outside the department, serving as Chair as needed.

Additional Information

May be required to work outside the College’s normal operating hours (8:30am-5:00pm, Monday through Friday), during New Student Orientation and other special events.

Skills required for success in the position:
Professional academic advising
Demonstrated understanding of student development at a liberal arts & sciences college. Well versed in the basic principles and theories of advising and college student development in higher education
Thorough understanding and engagement in national advising practices
Experience creating content using LMS systems
Demonstrated problem-solving skills Able to lead simultaneous multiple complex projects with competing priorities Effective communication, interpersonal, and organizational skills
Able to establish and maintain effective relationships with administrators, faculty, staff, students, and parents.

Preferred Qualifications

Bachelor’s degree required in liberal arts discipline, counseling or related field. Two years of professional workplace experience in higher education academic advising and experience developing and implementing advisor training, educational or skill development programming and activities. Knowledge of FERPA regulations. Ability to utilize Microsoft Suite products and Zoom software.
