Position Description

The Assistant Director serves as the primary contact in the absence of the Director and provides leadership to staff on daily basis ensuring the efficiency of the Advising, Counseling and Testing Services (ACTS) Department. This person shares the responsibility of supervising the ACTS Academic advisors with the Director, coordinates the MSSU Lion Alert system, and serves as the assessment and data support specialist for the department.


Collaborates with the Director on major decisions regarding the department and functions as the interim Director in the absence of the Director. Assists the Director in budgetary decisions, especially in relation to the Advising budget. Assists the Director in the hiring, onboarding, training, supervising, and dismissal of academic advisors and Administrative Assistant. Determines and approves out of office requests and takes the lead role in conducting periodic and annual performance evaluations for academic advisors and Administrative Assistant. Assists the Administrative Assistant in the hiring and supervision of the ACTS Hearnes hall student workers. Supervises the Advising Services team managing advisee loads, assigning special advising tasks, facilitating advising events, and programs. Coordinates the MSSU Early Alert, ‘Lion Alert’ Referral Program by retrieving and assigning referrals, reach out to referred students, provide user trainings, problem-solving, periodic usage reports, working with the software company (Pharos 360) to ensure the smooth and efficient performance of the software. Responsible for determining, retrieving, analyzing, accurately reporting, various advising-related, enrollment, and retention data for decision-making and program planning. Related to this function, serves as ACT liaison to Information Technology and Institutional Effectiveness departments. Leads the Advising unit’s assessment plans and provides guidance and data support to Counseling and Testing units assessment plans. Carries an advisee load of students pursuing Bachelor of General Studies, Bachelor of Applied Science, and undeclared students, assisting with major and career exploratory activities, course selection, and enrollment. Advisee academic support and advisee load may include student athletes. Educates students on how to access, interpret, and utilize Degree Audits and MSSU catalog, to make informed academic decisions. Provides supplemental advising and enrollment support to the general student body and an advising resource to faculty and staff. Review and interpret placement and other standardized test scores, unofficial transcripts, and transferability of courses in consultation with the Registrar’s office where needed. Uses Pharos 360, the Lion Alert system to set up the UE 100 midterm progress report form and provide related reports to the First Year Experience Director. Assists the Director with the Master Advisor Training program as needed. Participates in developing and updating Advising Services goals, objectives, manuals, handouts, training documents, presentations, and other resources as needed. Participates in student development, institutional retention and graduation efforts through collaborations with other MSSU support offices and faculty. Serves on institutional committees as assigned as a representative of ACTS department and/or as requested by other departments to meet institutional needs. Contributes to the overall success of the Advising, Counseling & Testing Services department, Student Affairs, and the institution at large, by performing other duties and responsibilities as assigned.

Required Qualifications

Master’s degree from an accredited institution required. Experience with data gathering, analysis, and reporting required. Minimum of five years of academic advising or related experience, at a tertiary or secondary institution preferred. Minimum of one year of supervisory experience preferred.
