Registration Policies

For your financial safety, we can NOT accept registrations with a credit card number via e-mail. Please mail/fax or email your registration without a number and call the office, 785-532-5717, with your number.


Event Registration Policies
Cancellation/Refund Policy - To cancel an Event Registration and request a refund, a written request from the individual requesting the cancelation must be sent to nacada@ksu.edu (include Cancel and the event name in subject line) or faxed to 785-532-7732. Verbal/telephone or second party requests will not be honored. Refund checks or credits will be issued four to six weeks after the institute. Membership fees are not refunded. See the printable event registration form for detailed information concerning refund amounts and dates requests must be received.

Registrants who fail to cancel their registrations through the executive office, in writing, will be responsible for the total conference registration fee even if they do not attend the conference and have not paid the registration fee. 

On-site Registrations - Attendees are strongly encouraged to register prior to the conference to assure space and correct materials are available and to avoid unnecessary delays. If on-site registration is necessary, payment is required at that time via check or purchase order. A receipt will be prepared for you to take to your institution for reimbursement to you. On-site registrations will not be accepted if the event has been closed prior to the first day of the event.

Dietary or Service Accommodations - NACADA is an association based in the United States and complies with ADA requirements of the United States. Please complete the appropriate area of the registration form. If you need ADA sleeping room accommodations you must contact the hotel directly. Special dietary needs not indicated on the registration form hold no guarantee of availability. Meal requests based on religious beliefs are not covered under ADA requirements and NACADA will not be able to provide for these requests..

Payment Methods
Payment can be made by check, money order, credit card, purchase order, or international wire transfer.

  • Check/Money Order: A check or money order must accompany the event registration.
  • Credit Card: Credit card information must be provided before the registration will be processed. Credit card information will not be accepted via email. You must mail, fax, or phone in your credit card number.
    • MasterCard, Visa, Discover, or American Express are accepted.
  • Purchase Orders: A paper copy of the purchase order (with PO # and billing address) must accompany your event registration.
  • International Wire Transfer: International attendees who cannot use a credit card, check, or international money order may pay NACADA by international bank wire transfer. Please note, NACADA assesses a $15 handling fee for each international wire transfer.

A service/processing fee of US $35 per registration will be assessed for returned checks, or changes in payment method or credit card after initial payment is processed.

NACADA's Federal Employer ID number (FEIN) is 48-1114759.

Presenter Registration
All individuals attending the event, including volunteer presenters, must register and pay the event fee before receiving event materials or participating in the event.

Non-Member Registrations
Non-member registrants acknowledge no reimbursement for lost discount(s) will be made, even if membership status changes.

Student/Retiree Fees
Student/Retiree Fees are available to full-time students and retired NACADA members only. Individuals employed full-time and taking college courses are ineligible.

Registration Transfers
Paid registrations may be transferred to another individual at your institution if you notify NACADA in writing in advance. The individual to whom the registration is being transferred to must be or must become a current NACADA member before a member fee transfer can take place, those wishing to not become a member will be responsible for payment of difference between the member/non-member fee before the event transfer can take place. Membership dues are non-transferable between individuals. Credit cannot be applied toward future events.

Event Registration Cancellations
Please refer to the event’s web page and/or printed registration form for event specific details relating to the cancellation policy of an event registration.

Photos
Registration in this meeting authorizes NACADA to include you in event photos to be shared with the group or in future promotional materials. If you wish to opt out of these photos, please e-mail your request to nacada@ksu.edu.

Financial Security

Weather Related Cancellations
No refunds will be issued should travel to a NACADA event destination become difficult due to weather, curtailment of transportation, or other circumstances beyond the control of NACADA, provided the event moves forward as planned.

Time Zones
Registration fees listed will update at 11:59 a.m. central time on the date listed.

Email Request
Please have and maintain a current email on your NACADA record to ensure you receive event confirmations and event communications. Additional correspondence, such as NACADA Academic Advising Today, NACADA Monthly Updates, and notifications of important events in your region, are also sent via email.

Refund Policy

JUNE 2019 event:

Prior to June 6, 2019: A refund of conference fees, less a $50 administrative fee, will be made with a written request. 
June 6-18, 2019: A 50% refund of conference fee with written notice.
After June 18, 2019: Due to facility and institute obligations, no refunds are given.


JULY 2019 event:

Prior to July 9, 2019: A refund of conference fees, less a $50 administrative fee, will be made with a written request. 
July 9-16, 2019: A 50% refund of conference fee with written notice.
After July 16, 2019: Due to facility and institute obligations, no refunds are given.
