Position Description

Reporting to the Director of Academic Advising, this position will contribute to the growth and development of an emerging advising office. The incumbent will complement departmental advising by serving as a resource for new and continuing students, providing general advising on college requirements, policies, and procedures, assisting students in academic difficulty, and helping connect students with appropriate, additional campus resources as needed (regular case load of at least 350 students). This position will need to travel between campuses, and able to work remote and online as assigned. Beginning fall term 2021, the College will require all persons who want to access the physical campus in person to be fully vaccinated against COVID-19. We will also continue to require face coverings, physical distancing, hygiene and sanitation measures as an extra layer of protection against COVID-19 and other respiratory illnesses.

Student Advising — 60%
•Under the direct supervision of the Director of Academic Advising, this position serves as the primary point of contact for undergraduate students with general academic advising questions; refers students to appropriate departmental advisors and various offices as needed
•As one of the principal generalist academic advisors for undergraduate students: hold individual general advising appointments and group advising sessions (in-person and online); create and maintain resources to meet students' educational needs, and facilitate communication regarding key advising information such as registration, institutional deadlines, and academic probation; coordinate/lead advising workshops for students •As appropriate, supplement departmental/major advising by introducing new students to their academic requirements, the course selection process, college-wide policies and procedures, and helping students understand how to interpret their degree audit reports
•Process appropriate student paperwork relating to academic advising, including all academic advisement forms, and maintaining accurate records (including electronic records) of interactions with students

Department Operations — 30%
•Help create and maintain advising materials such as training manuals, brochures, posters, handouts, and academic advising related web content; collect trans-disciplinary/elective course information from the educational departments and create the TDS/Elective Guide for registration each semester
•With the Director of Academic Advising and other Academic Advising staff, help coordinate college advising trainings and workshops for staff, faculty, and Department Chairs regarding advising best practices, policies, and emerging trends regarding student academic advising in higher education
•Assist the Director of Academic Advising with the interpretation, tracking and management of advisement data, including but not limited to tracking academic probation information, budget expenditures, etc.
•Participate in the development, implementation, review, presentation, and revision of orientations for new students
•Engage in professional development activities, including but not limited to, memberships in professional organizations, attendance at conferences, workshops, division and department training sessions; stays current with information technology skills
•Assist the Director of Academic Advising with tasks related to the college’s student success initiatives •Participate in the evaluation and assessment of the academic advisement program

Non-essential — 10%
•Attend, coordinate, and participate in college committees
•Order forms and supplies for the Academic Advising Office as needed
•Provide basic administrative support (lunch order, putting up flyers) for each term’s Advisement Fair and other related advising events, record minutes for the Academic Advisement Committee, and perform other clerical tasks as needed
•Perform other duties as assigned

Physical Demands and Working Environment
The conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. Normal business hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. The position may require flexibility to work a staggered, remote or alternate schedule to meet the demands of the work, which could include weekends or evenings.

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, chemicals, dust and noise.

Physical: The position is generally sedentary. Employees sit most of the time, but may walk or stand for brief periods of time. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. Must be able to travel between campuses.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.

Required Qualifications

•Bachelor’s degree in education, counseling, or related student services from an accredited college or university •Previous experience working with students in academic advising, or counseling
•Excellent oral, written and digital communication skills, detail-oriented, highly organized, able to balance priorities, takes initiative, reliable and resourceful
•Demonstrated willingness and ability to readily respond to changing circumstances and expectations •Familiarity with college/university environment; knowledge of basic counseling/helping techniques and their application to educational settings.
•Demonstrated ability to work independently and collaboratively in a creative and dynamic environment
•Ability to effectively use complex data bases, including student records systems
•Ability to accurately and consistently convey college policies, procedures and requirements
•Working knowledge of student developmental theories and familiarity with art & design fields is a plus •Appropriately adheres to the institution’s interpretation of FERPA rules for the release of student information to faculty, parents, students, etc.
•Ability to develop supportive and collaborative working relationships with students, faculty, and staff
•Have a commitment to diversity, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
•Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business
•Strong computer skills with proficiency in MS Office Suite and student databases

Preferred Qualifications

•Master’s degree in education, counseling, or related student services from an accredited college or university •Knowledge of Datatel/Colleague/Student Planning Module, or other higher education-related student databases and tracking systems; Familiarity with Adobe Suite is a plus

•Prior experience in higher education
•Proficiency in a second language (other than English)
