Position Description
The College of Business and Engineering Technology Coordinator of Academic Advising & Student Support Services assesses student needs, goals, interests, career plans, and prior academic experiences in order to design and implement a successful academic and experiential learning plan for students in degree programs within the College of Business and Engineering Technology. This position coordinates advising services for the College and provides development, training, and support for faculty related to advising, internship planning, and student support. The Coordinator represents the College to other university and external areas on matters related to student advising and services, represents the College during prospective student events, and coordinates new student orientations and other events for the College. Other related duties may be assigned by the Dean.
Duties
FUNCTIONS:
- Assesses student needs, goals, interests, and prior academic experiences to design and implement a successful academic and experiential learning plan for students in degree programs within the College of Business and Engineering Technology.
- In cooperation with professional advisors in the Student Success Center and in the other colleges, coordinates advising services for the College of Business and Engineering Technology and serves as a resource for faculty and staff regarding advising needs.
- Coordinates the development, training, and implementation of the College’s academic plan maps, experiential learning plans & student tracking software.
- Represent the College of Business and Engineering Technology in connecting students with other areas of the university community and external constituents, including business and industry in coordination with faculty.
- Stays up-to-date with changing institutional information, engages in professional development activities, and represents the College of Business and Engineering Technology on selected committees.
- Other appropriate, related duties as assigned.
RESPONSIBILITIES:
- Assesses student needs, goals, interests, and prior academic experiences to design and implement a successful academic and experiential learning plan for students in degree programs within the College of Business and Engineering Technology. Coordinates with Admissions, the Registrar’s office, the Student Success Center professional advisors, and academic departments/schools to ensure transfer credits are correctly applied to a program’s curriculum; may involve research of course descriptions to verify transferability. Maintains systematic and frequent contact with advisees. Maintains accurate records (including electronic records) of interactions with students. Reviews and interprets placement and other standardized test scores, unofficial transcripts, and course prerequisites. Reviews and interprets degree audits. Monitors student registration activities and recommends solutions to academic difficulties and retention concerns. Serves as a student advocate when appropriate. Using all available data, build initial course schedules for all entering CBET students.
- In cooperation with professional advisors in the Student Success Center and in the other colleges, coordinates advising services for the College of Business and Engineering Technology and serves as a resource for faculty and staff regarding advising needs. Coordinates and manages the planning, implementation, and the evaluation of the academic advising program’s goals and objectives to best meet the mission and needs of the College of Business and Engineering Technology. Develops advising materials and presentations to support individual and group sessions. Coordinates the development, implementation, and on-going revisions to the student communication plans regarding advising, enrollment, and retention services specific to the College of Business and Engineering Technology; disseminates information on institutional policies and procedures. Coordinate virtual and face-to-face program overview sessions and initial advising services with faculty and academic department/school leadership and prospective students.
- Coordinates the development, training, and implementation of the College’s academic plan maps, experiential learning plans & student tracking software. Coordinates the development, training, and implementation of the College’s academic maps system & student tracking software. Develop and coordinate an experiential learning (or internship) advising plan.
- Represent the College of Business and Engineering Technology in connecting students with other areas of the university community and external constituents, including business and industry in coordination with faculty. Coordinates with the Office of Career Development and the relevant offices to assist students with career planning. Refers students to the appropriate specialized staff for such issues as comprehensive counseling, financial assistance, study abroad, etc. Monitors the needs of students who are Veterans and coordinates services among all relevant areas of campus for Veterans who are enrolled in the College. Serves as liaison and fosters intentional relationships with other advisors, offices, academic units, and external stakeholders as appropriate in the College of Business and Engineering Technology and the University. Plans and coordinates institutional student development and retention programs with faculty and college leadership. Participates in the development, implementation, review, presentation, and revision of orientations and other Admissions events for the first-time college students and transfer students.
- Stays up-to-date with changing institutional information, engages in professional development activities, and represents the College of Business and Engineering Technology on selected committees. Stays abreast of changing institutional information including admissions requirements, new programs, course changes, deadlines, important dates, costs, expanding facilities, updates in college-wide initiatives, transfer requirements, ADA requirements, Title IX, and state and federal mandates that impact students. Engages in professional development activities, including but not limited to, memberships in professional organizations; attendance at conferences, workshops, division and department training sessions; stays current with information technology skills.
- Other appropriate, related duties as assigned. Other duties depending on the needs of the College and the Office of the Dean.

Institution Information
Shawnee State University located in Portsmouth, Ohio, is a small rural institution serving the Appalachian Region of Ohio. Shawnee State has a large population of First-Gen college students as well as Pell Eligible students. The majority of our students come from five surrounding counties; however, we do attract students from all over the US and the world. Two of Shawnee's signature degrees, Plastics and Game Simulation and Design, are housed within the college that this position would serve. Shawnee State has a student population of approximately 3,200 students from associates degree seeking to doctoral degree seeking. Additional Information
This position will be house in the Student Success Center and work with a team of advisors and success coaches serving all undergraduate students.
