Position Description
Under general supervision, serve as one of five primary advisors in the Orange Cluster Undergraduate Advising Center. Provide comprehensive, advanced academic advising on a wide range of complex issues to undergraduate students in the departmental majors and support faculty members. Independently handle orientation processes, including freshman and transfer students. Interpret and implement policies and administer undergraduate activities for the department. Work with faculty on program development and administration. Manage quality assessment and policy development. In partnership with all academic advising units and academic success initiatives, work to implement campus-wide academic advising initiatives and act as the representative of the unit in discussions with other student-oriented units, including those housed in other undergraduate colleges, undergraduate education, or student affairs. Participate in decision-making and implement policy/procedural changes made by the Curriculum Committee. Participate in planning course offerings for administrative/faculty review. Primary staff resource for Program Review (TPPRC). Provide analytical support for program review process and monitor advising program for significant trends regarding the program's effectiveness. Responsible for recruitment coordination and representing the department at University outreach functions. Develop all departmental undergraduate outreach/advising publications. In collaboration with Orange Cluster’s Business Office, oversees and ensures proper allocation of all undergraduate endowments/gift funds. Work with student affairs personnel to initiate and develop college policies and programs. Review and evaluate the impact of faculty proposals regarding curriculum planning, program changes, and advising services. Plan/coordinate schedule, including meetings with faculty, staff, and students. As part of the decision-making committee, participate in course planning/scheduling. Implement program modifications for the major based on discussions/observations with faculty, students, other advising staff, and/or on available statistics.
Duties
Primary advising contact for multiple undergraduate majors. Independently provide academic/personal counseling to students regarding academic progress, choice of major and program requirements. Direct students to non-classroom educational experiences that complement/supplement classroom instruction. Advise students facing complicated or uncommon issues impacting performance, time to degree, or postgraduate options. Analyze patterns of poor performance, assess student perceptions of contributing factors, and develop strategies for academic success. Counsel students experiencing academic difficulty; provide referral to campus resources. Monitor student degree progress with regard to education requirements and development of academic plans. Plan/administer department Summer Advising Program for incoming students. Independently manage recruiting, selecting, training, and evaluating undergraduate program academic student staff (APAs). Determine workload priorities; delegate work assignments to student staff to meet goals. Responsible for developing, executing, and assessing new events for undergraduate outreach and recruitment functions, workshops, seminars, and conferences. Write/design undergraduate student/peer advisor handbooks, catalog, and update annually. For coursework not articulated, in collaboration with the Undergraduate Advising Supervisor, review students' work, course descriptions, and/or syllabi to suggest appropriate equivalencies. Provide support to evaluate/articulate student's academic transcripts from other educational institutions to approve transfer credit and apply to specific major requirements. Assess/advise regarding transfer of junior college credits. Primary staff person responsible for reviewing/recommending approval of course-to-course articulation agreement requests from Community Colleges. Evaluate substitutions/waivers from academic requirements; make recommendations regarding approval and denial to faculty. Provide analysis and make recommendations to Dean's Office/departmental faculty regarding transfer credit issues and matters related to admission/readmission. Independently administer and/or write, review, and approve continuing students' forms and petitions. Certify completion of major degree.

Qualifications:

Required Qualifications
- Bachelor’s degree in a related area, or an equivalent combination of education and experience.
- Experience in holistic advising and counseling approaches and experience with academic policies, procedures, and requirements in a higher education setting; recommending solutions to progression and requirement issues; ability to make proper referrals to other campus resources. Knowledge of UC policies regarding privacy of information.
- Experience using interpersonal communication, problem-solving and listening skills to identify and document patterns of student academic needs; to develop strategies and programs to successfully meet needs; experience and skills to facilitate workshops and present in public forums; and to interact and provide guidance to emotionally upset students and parents from all backgrounds.
- Knowledge of evidence-based advising and student development strategies that advance principles of diversity, equity, and inclusion, including experience discussing and engaging in practices directly related to equity, inclusion, identity development, diversity, and cultural competency and humility.
- Ability to make decisions independently, manage details of complex projects and processes aligned with strategic priorities from start to finish with minimal direction, adapt to constantly shifting priorities and outcomes, and contribute to a shared team model where collaboration, knowledge-sharing, and cooperation are emphasized to provide high-quality student services
Preferred Qualifications
- Experience with student development theories and how they interact with various undergraduate student populations, including working with diverse student populations, identifying and analyzing specific needs of those populations, and developing/adjusting programming to meet those needs.
- Experience in confronting a variety of difficult situations and individuals and making appropriate referrals for counseling and/or disciplinary action. Experience with UC policies regarding privacy of information.
- Experience discussing and engaging in practices directly related to equity, inclusion, identity development, diversity, and cultural competency and humility. Experience with developing and assessing approaches and programs related to intercultural community-building, belonging, and identity development.
- Experience with Banner, Degree Navigator, SISWEB, and faculty information on DESII.
- Experience analyzing and applying university, college, major, and general education requirements in a higher education setting. Knowledge of policies regarding privacy of student information.
- Experience writing, editing, and proofreading to answer correspondence, write reports, and develop informational materials. Experience using software programs (i.e., Microsoft Word and Excel) for word processing, maintaining databases, accessing student information, and learning new software applications.
- Knowledge of transfer admissions criteria and applicability of credit from other institutions, course registration procedures, and other information and available forms
- Knowledge of higher education procedures and academic requirements to advise administrators, faculty, and staff on existing policies and/or regulations and make suggestions for improvements.
- Organizational and communication skills to independently facilitate workshops and present in public forums.
- Skills to supervise student staff in a variety of venues and circumstances.
