Position Description

The School of Architecture at the University of Illinois at Urbana-Champaign seeks two full-time professionals to join the Graduate Advisor Team, hiring at either the Graduate Advisor or Senior Graduate Advisor level. This role provides advising and support to graduate students in architecture, focusing on academic success, career planning, and professional development. Collaborating with school leadership, alumni, and external organizations, this position enhances support for students’ diverse career trajectories.

Duties

Graduate Advisor Duties & Responsibilities

  • Advise graduate students in the architecture curriculum on all aspects of the graduate program, including but not limited to plan of study, concentrations, fellowships, and CPT.
  • Liaison with the Graduate College to implement and update all graduate processes and policies and process all graduate paperwork in consultation with the Associate Director of Student Affairs, the Associate Director for Academic and Curricular Programming and the graduate college.
  • Advise graduate students on transitioning from the University to finding career opportunities and related information about internships, full-time positions, leadership, employer engagement, and career exploration.
  • Monitor and provide support, resources, and referrals for students on academic probation, including reminding students of petitioning deadlines and coordinating the submission of petitions to the Graduate College.
  • Support international students through knowledge of the H1B/I20 Visa, CPT, OPT processes and inform them of the standards and practices of recruitment, language requirements, development, and international career management.
  • Create and disburse a newsletter for graduate students with important dates and relevant information.
  • Audit and certify all Graduate Degrees for graduation. • Provide administrative support for NCARB Licensing.
  • Support awards process for graduate fellowships, assistantships, and scholarships, working with the Associate Director of Student Affairs, the Associate Director for Academic and Curricular Programming and submitting waiver requests.
  • Support student registration for Oral English Exams (EPIs) and the Graduate Academy for College Teaching.
  • Provide backup support for administering external funding allocations for graduate students. Graduate Admissions Process
  • Assist the graduate admissions process for students entering the M. Arch and joint programs in the School of Architecture, including coordinating the graduate application and review process through SLATE and verifying requirements for all applicants.
  • Assist in coordinating recruiting events and information sessions multiple times a semester. Graduate and Professional Programming
  • Schedule midterm and final reviews each semester in coordination with the director, faculty, school administration, guest critics, facilities, and IT.
  • Assist with planning and implementing Career Expo including, but not limited to, contacting firms, setting dates, contracting with venues, planning catering, transportation, printed and digital materials, resumes, portfolios, mock interviews, and cover letter workshops in collaboration with faculty, Campus Career Services, and the alumni network.
  • Assist with the implementation of strategic career development programming that overlaps academic experience and professional development to support prospective and current students effectively.
  • Assist with developing and maintaining relationships with college and campus stakeholders to enhance career integration.
  • Graduate Program events in collaboration with the Associate Director of Student Affairs. Included but not limited to admission activities, recruitment activities, open houses and Convocation.
  • Occasional travel required for admissions and recruitment activities.

Other responsibilities as deemed necessary by the Director or Associate Directors.

Senior Graduate Advisor Duties & Responsibilities

  • Advise graduate students in the architecture curriculum on all aspects of the graduate program, including but not limited to plan of study, concentrations, fellowships, and CPT.
  • Liaison with the Graduate College to implement and update all graduate processes and policies and process all graduate paperwork in consultation with the Associate Director of Student Affairs, the Associate Director for Academic and Curricular Programming and the graduate college.
  • Advise graduate students on transitioning from the University to finding career opportunities and related information about internships, full-time positions, leadership, employer engagement, and career exploration.
  • Be the School’s NCARB Licensing Advisor and contact person for the School with regards to NCARB, AIA, AIAS, and Firms.
  • Coordinate the process of awarding graduate fellowships, assistantships, and scholarships, working with the Associate Director of Student Affairs, the Associate Director for Academic and Curricular Programming and submitting waiver requests.
  • Administer all external funding allocations for graduate students.
  • Serve as the primary contact to the Center for Innovation in Teaching and Learning (CITL) to register students for Oral English Exams (EPIs) as well as the Graduate Academy for College Teaching.
  • Oversee graduate student support including degree certification and providing resources to international students and students on academic probation.

Graduate Admissions Process

  • Coordinate the graduate admissions process in its entirety for students entering the M. Arch, MS in AS, PhD and joint programs in the School of Architecture, including the coordination of the graduate application and review process with the Associate Director of Student Affairs, and the Graduate Admissions Committee; provide information regarding the application process to prospective students including international requirements; process application through SLATE and verify requirements for all applicants.
  • Input and process fellowships, acceptance and denial letters. Graduate and Professional Programming

Additional Information

This is a 100% full-time Academic Professional position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for the position is $50,000 to $60,000 at the Graduate Advisor level and $55,000 to $70,000 at the Senior Graduate Advisor level. Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. Sponsorship for work authorization is not available for this position.

Graduate Advisor

Bachelor’s degree in architecture, higher education, or related field. Experience in programs of assistance to students in higher education or advising.

Senior Graduate Advisor

Bachelor's degree in architecture, higher education, or related field. Three years of experience in programs of assistance to students in higher education, career advising or job market.

Preferred Qualifications

Master's degree in architecture, higher education, or related field. Advising experience at the University of Illinois. Knowledge of Illinois School of Architecture. Experience using SLATE, Banner, DARS (or similar) student record systems. Knowledge, Skills and Abilities The candidate should be proficient in advising, have excellent interpersonal skills, and knowledge of graduate students and their needs. Demonstrated ability to respond to concerns, motivations, and learning patterns of graduate students; ability and commitment to working with culturally diverse groups. Excellent written and oral communication skills, good teamwork skills and initiative. Ability to work with people of diverse cultures and backgrounds. Ability to multi-task, meet deadlines, and work in a fast-paced environment. Experience with information technology, including the use of social media in the delivery of services to students. Must be able to travel if necessary.

Senior Graduate Advisor

Master's degree in architecture, higher education, or related field. Advising experience at the University of Illinois. Knowledge of Illinois School of Architecture. Experience using SLATE, Banner, DARS (or similar) student record systems. Knowledge, Skills and Abilities Knowledge of career development and job search strategies. Effective leadership and advising skills. Must demonstrate interpersonal skills especially the areas of collaboration, alumni outreach, development, conflict resolution, problem-solving and decision making. Ability to respond to concerns, motivations, and learning patterns of graduate students; ability and commitment to working with culturally diverse groups. Excellent written and oral communication skills; ability to work on a team and take initiative. Ability to multi-task, meet deadlines, and work in a fast-paced environment.

Preferred: Experience with information technology, including the use of social media in the delivery of services to students. Knowledge of business careers in the United States as well as Asia, China, and across the globe. Must be able to travel.
